Dispose of an asset

Disposal retires an asset with a paper trail. It routes the decision for approval, forces a data-sanitisation certificate for anything that held data, posts the gain or loss to your ledger, and marks the asset disposed in the register.

  1. In the sidebar, select Disposals, then New disposal.
  2. Choose the Asset.
  3. Choose the Method — Sale, Scrap, Donation, Lost, Stolen or Transfer out.
  4. Enter the Reason.
  5. For a sale, enter the Proposed sale value and Currency.
  6. Set the Recipient type, then enter the Recipient name. Add the Vendor or location where the method calls for one.
  7. Attach Supporting files.
  8. Add Labels if they help your team find this later.
  9. Select Create draft.

An asset can only have one open disposal at a time.

Select Submit for approval. Approvers decide it from the Approvals inbox — the decision is an approvals permission, not a disposal one, so the person who raised it usually is not the person who approves it.

Once approved, select Start to begin the physical disposal.

Some assets must be sanitised before they leave your control — anything classified confidential or restricted, anything in your data-bearing categories, and anything with IoT devices attached.

For those, complete the Media disposal certification on the Data sanitisation tab: the Method, the Vendor who did it, the Serial number at disposal, the Date conducted, the Certificate reference, the signed certificate PDF, and who Verified it.

  1. Select Refresh preview on Gain / loss to check the figure before you commit.
  2. Select Complete disposal.
  3. Enter the Final sale value and attach the Sale proof file for a sale, the recycler’s certificate for scrap, or the police report for a theft.

Cancel is available while the disposal is a draft or awaiting approval. Delete is only available on a draft. After work has started, cancel rather than delete so the trail survives.

Draft → Pending approval → Approved or Rejected → In progress → Completed. A disposal can also be Cancelled before work begins.
