Schedule preventive maintenance

Preventive maintenance (PM) is planned, recurring work that keeps equipment running instead of waiting for it to break. A PM schedule is the rule that describes that recurring work — Belrald Assets then raises the work orders for you when they come due, so nothing slips through the cracks.

Follow these steps to create a time-based schedule. You can also trigger PM from a meter reading — see Trigger on a meter below.

Create a PM schedule

1. In the sidebar, select Preventive maintenance.
2. Select New PM schedule.
3. In Title, name the routine so the generated work orders are easy to recognise — for example, “Quarterly HVAC filter change”.
4. Under Assets, add the assets this routine covers. Choose the Location that anchors the schedule.
5. For Trigger, choose Time.
6. Set the Frequency — either a fixed calendar schedule (for example, the first of every month) or an interval that counts from the last completed job (for example, every 90 days).

7. Optionally attach a Procedure for the technician to complete, and set a default Assignee to receive the generated work orders.
8. Choose how work orders are generated:
   • One work order for all assets — a single job that covers the whole list (good for a walk-round).
   • One work order per asset — a separate job for each asset (good when each needs its own sign-off).
9. Select Create schedule.

Tip

Pick the interval that counts from the last completed job when the work resets a clock — like a filter change. Pick a fixed calendar schedule when the date itself matters — like a monthly safety check.

Trigger on a meter instead

Some maintenance is driven by usage, not the calendar — an oil change every 5,000 km, for example. In step 5, choose Meter instead of Time, pick the Meter on the asset, and set the interval (the amount of usage between jobs). Belrald Assets raises the next work order when the meter passes that mark.

Note

A meter-triggered schedule covers a single asset — the one the meter belongs to. Even if a big jump in the reading covers several intervals at once, you get one work order, not a pile of duplicates.

What happens next

The schedule starts running. When a job comes due, Belrald Assets raises a work order automatically, carrying over the procedure, assignee, and priority you set. You can pause, resume, or archive a schedule at any time, and use Run now to raise a work order immediately without waiting for the next due date. See the PM calendar reference to plan the year ahead.
