Send a contract for signature
Contracts is the shared signing surface for anything that binds two or more parties — a lease, a guarantor agreement, a vendor agreement, an inspection sign-off. It stores the document, collects the signatures, and keeps the evidence that proves who signed what, and when.
Prepare the contract
Section titled “Prepare the contract”- In the sidebar, select Contracts, then New contract.
- Choose the Kind — for example a lease or an inspection sign-off. The kind links the contract back to the record it belongs to.
- Set the Jurisdiction. It is required, and it decides which legal rules the document is governed by.
- Pick a Template if you have one, then give the contract a Title.
- Add each Party: their name, email, role, and whether they are a required signer. Parties who only need a copy don’t have to sign.
- Set the Signing order — Parallel sends to everyone at once, Sequential sends to the next party only after the previous one signs.
- Set an Expiry if the document stops being valid on a known date, then save. The contract starts as a Draft.
- Open the contract and upload the unsigned PDF the parties will sign.
Send it out and track the signatures
Section titled “Send it out and track the signatures”- Select Send for signature.
- Each party who must sign gets an email with their own signing link. Signers don’t need a Belrald Assets account — the link is the access.
The contract moves to Out for signature, then Partially signed as signatures arrive, and finally Executed when the last required party has signed.
Verify a signed document
Section titled “Verify a signed document”Each signed PDF carries an evidence page listing, for every signer, their name, role, email, the time they signed, their IP address and device, and a fingerprint of the document body at that moment.
Select Verify on the contract to re-check that fingerprint against the stored file. A mismatch means the file has been altered since signing, and the platform flags it rather than letting it pass quietly.
What happens next
Section titled “What happens next”An executed contract is linked from the record it belongs to — the lease, the inspection, the vendor. Contracts with an expiry date raise warnings ahead of time so a renewal isn’t missed, and move to Expired on the day.
Executed contracts are retained even if the party’s account is later erased — the parties’ details are anonymised in place instead, because legal retention outlives the account.
