Organise records with labels
Labels are one shared vocabulary for tagging records across your whole workspace — a label like “Critical” or “Warranty” can apply to work orders, assets and vendors alike. Because everyone picks from the same curated list, filters and reports stay meaningful.
Your workspace starts with a small starter pack of groups and labels. Edit it to match how your team talks.
Create a label
Section titled “Create a label”- Go to Settings → Labels.
- Select New label.
- Enter the name — up to 64 characters. Keep it short and specific.
- Choose what it applies to. This is required: pick at least one record type, such as work orders or assets. A label only appears on the record types you choose here.
- Optionally set a colour. If you skip it, Belrald Assets picks one from the palette.
- Optionally assign the label to a group.
- Save the label.
Group related labels
Section titled “Group related labels”Groups keep long lists usable, and they carry two useful settings:
- Exclusive — a record can carry only one label from this group. Use it for things like a priority band, where two values would contradict each other.
- Tenant visible — labels in this group can be shown to tenants. Leave it off for anything internal.
Apply a label to many records at once
Section titled “Apply a label to many records at once”Open a label and apply it to a batch of up to 500 records. Belrald Assets reports which records it applied the label to and which it skipped — a record is skipped when it already carries the label or has reached its own label limit.
Keep the list clean
Section titled “Keep the list clean”- Archive a label you have stopped using. It leaves the pickers but stays on the records that already carry it.
- Merge a duplicate into the label you want to keep. Records move to the surviving label automatically.
What happens next
Section titled “What happens next”Labels show up in filters, saved views and reports. If your workspace uses AI label suggestions, review the suggested labels and accept or reject each one — nothing is applied until you accept it.
