Create a template

A template is a pre-filled blueprint. Instead of typing the same details into every quarterly generator service, you build the template once and apply it — the new record starts with your defaults already in place, and it records which template and version it came from.

Create a template

Section titled “Create a template”
  1. Go to Settings → Templates.
  2. Select New template.
  3. Choose the kind — work order, asset or PM.
  4. Enter the name — up to 120 characters, and unique among templates of the same kind.
  5. Optionally add a description (up to 500 characters) and a category such as HVAC or Plumbing.
  6. Optionally pick default labels to apply to every record made from the template.
  7. Fill in the defaults for that kind of record. On a PM template, the defaults are where you can limit them to particular asset categories.
  8. Select Create template.

Use placeholders for details that change

Defaults can carry placeholders that Belrald Assets fills in when the template is applied — the asset’s name, serial number or category, the location’s short code, name or full path, and the date. A title like “Quarterly service — asset name” comes out specific to the record it created.

Add field rules

Field rules control how a field behaves when someone applies the template — for example, requiring a value or locking it. Fields Belrald Assets manages itself are protected: a rule cannot change a record’s status, its template kind, or the details that record who created it and when.

Reuse and retire templates

  • Duplicate a shared or built-in template to make your own version instead of editing the original.
  • Filter by kind to narrow the list to work-order, asset or PM templates.
  • Archive a template you have retired, and restore it if you need it back.

What happens next

Section titled “What happens next”

Applying a template stamps its defaults onto the new record and records the template and version used, so you can tell later which blueprint produced a record. Turning templates off does not undo records already created from them.
